Weather Updates

RecSports is closely monitoring the weather conditions. The event will take place rain or shine, prepare accordingly. Any weather impact on the event will be communicated on the Party on the Plaza event page and the RecSports Twitter account (@UTRecSports). Please monitor these platforms for the latest information.

Event Registration

All student organizations interested in tabling at Party on the Plaza must register in advance. Registration closed on Monday, Aug. 28 at noon. 

 

Registration fee: $20, benefiting the Student Emergency Fund. Registration includes access to (1) four-foot table space. 

 

Eligibility: Student organizations must be currently registered in good standing with Student Activities to participate. If you have questions about your student organization's status, please contact Student Activities at soc@austin.utexas.edu or 512-471-3065. RecSports is unable to answer questions regarding your organization's status. 

 

Note: Student organizations may only reserve (1) four-foot table space. Please communicate with other officers in your organization to ensure there aren't multiple reservations submitted for your organization. Refunds will not be granted. 

 

 

Your Tabling Assignment

Student organizations will be organized by category: academics, arts, ideologies, service, sports, and spirit. We will communicate closer to the the day of the event with your table's location.

Know Before You Register


Student organizations may only register for one tabling space.
Please communicate with your other student organization officers to ensure there aren’t multiple reservations submitted for your organization. No refunds will be granted for duplicate registration forms.


Student organizations will be sharing eight-foot tables.

Your organization will have four feet of tabling space and two chairs. Please plan accordingly. 


Only (2) organization members are allowed per table at one time.

Feel free to rotate members throughout the event. 


Plan to stay until 4pm.
Your student organization is expected to table for the full duration of the event, 11am-4pm.


On event day, report directly to your table's location as early as 10am.

Event Day Instructions

There is no in-person check-in.
Report directly to your table location as early as 10am. 


Let us know you’re here.
When you arrive at your table, scan the QR code on your table to check-in using your university department or student organization’s name and email address. 

 

Complete your set up by 11am and be ready to welcome participants. 


Plan to stay until 4pm. 
You're expected to table for the full duration of the event, 11am-4pm. 


Please stay hydrated and bring sunscreen! 
A water filling station will be available at the event to refill your water bottle. 

Event Safety Guidelines

• All Party on the Plaza activities will take place outdoors and will follow the latest university guidance for events.


• Wash your hands often and thoroughly. Hand sanitizing stations will be available for your use during the event. 


• We encourage you to monitor your symptoms and stay home if you’re feeling sick.

 Tabling Assignments - University Departments

All University departments registered to table will be assigned a table in the Campus Resource Fair section on Speedway, south of 21st. Street. 

 Tabling Assignments - Student Organizations

Student organizations will be organized by category (academic, arts, service, social, and sports) along Speedway Plaza, from Jester to the Gates-Dell Complex.


Table assignments are made on a first-come, first-served basis in the order in which registrations are received.

As a reminder, you will be sharing one eight-foot table with another student organization. Please plan accordingly for your four feet of tabling space.

Event Day Tabling Policies - Student Organizations

Student Organizations: Event Day Tabling Policies

- Only (2) organization members are allowed per table at one time. Feel free to rotate members throughout the event. 


 -Student organization members must remain behind the table at all times.


- All personal items must be placed underneath or behind your table.


- Student organizations will not have access to electricity/power outlets. 


- Amplified sound is prohibited. 


- Pets, with the exception of service animals, are prohibited. 


- Serving food is prohibited. 


- RecSports reserves the right to determine whether student organization activities at Party on the Plaza are appropriate for the event.
